Save time by uploading, creating, editing, and managing multiple collections at once. This guide covers everything you need to know about bulk operations.

Overview

Bulk operations let you work with many collections or items simultaneously, saving significant time compared to creating or editing them one by one. Collections Manager supports several types of bulk operations:

  • Bulk Upload — Import collections from a CSV file.
  • Bulk Create — Create multiple new collections using a form-based workflow.
  • Bulk Edit — Select multiple collections and apply changes to all of them at once.
  • Bulk Delete — Remove multiple collections in a single action (with safety confirmations).

All bulk operations are processed asynchronously in the background, so you can continue working while the system handles your request. You will receive a notification when processing is complete.

Tip: You can monitor the status of any bulk operation from the My Uploads page at any time.

Bulk Upload via CSV

The CSV upload feature lets you import collections and their items from a structured file. Follow these steps to complete a bulk upload.

Prepare Your CSV File

Create a CSV file following the required format (see the CSV Template section below). Make sure column headers match exactly, and that each row represents a single collection or item.

Navigate to Bulk Upload

Go to Bulk Upload from the main navigation, or use the Create menu and select Bulk Upload.

Upload Your File

Drag and drop your CSV file into the upload area, or click Browse Files to select it from your device. The system accepts .csv files up to 10 MB in size.

Map Columns

After uploading, the system will show a column mapping preview. Verify that each CSV column is mapped to the correct collection field. You can adjust mappings using the dropdown selectors if the auto-detection is incorrect.

Review and Confirm

The system validates your data and displays a summary showing the total number of rows, any rows with errors, and a preview of the first several records. Fix any flagged issues, then click Start Upload to begin processing.

Tip: For large files, the system processes rows in batches. You can close the page and come back later — processing continues in the background.

CSV Template

Use the following format for your CSV file. The first row must contain column headers. You can download the template directly from the Bulk Upload page.

Tip: If your description contains commas, enclose the entire field in double quotes. For descriptions containing double quotes, escape them by doubling them (e.g., ""quoted text"").

Bulk Create Collections

If you prefer a form-based approach over CSV, the Bulk Create feature lets you define multiple collections through a visual interface.

Open Bulk Create

Navigate to Bulk Create from the navigation menu or the Create dropdown.

Add Collection Entries

Click Add Collection to add a new row. Each row contains fields for name, description, tags, visibility, and category. You can add up to 50 collections per batch.

Apply Shared Settings

Use the Apply to All toolbar to set the same visibility, category, or tags for every collection in the batch. Individual rows can still be customized after applying shared settings.

Review and Submit

Review the summary panel showing total collections to be created. Click Create All to submit the batch. You will see a confirmation dialog before processing begins.

Tip: You can duplicate an existing row using the copy icon () to quickly create similar collections with minor variations.

Bulk Edit Operations

Bulk editing lets you update properties across multiple collections at the same time. This is useful for updating tags, changing visibility, or reassigning categories across a set of collections.

Selecting Collections

There are two ways to select collections for bulk editing:

  • Checkbox Selection — On the My Collections page, click the checkbox next to each collection you want to edit. A bulk actions toolbar appears when one or more items are selected.
  • Select All — Click the checkbox in the table header to select all collections on the current page. To select all collections across all pages, click the Select all N items link that appears.

Available Bulk Actions

Once you have selected your collections, the bulk actions toolbar displays the following options:

  • Change Visibility — Set all selected collections to public or private.
  • Add Tags — Append new tags to all selected collections without removing existing tags.
  • Remove Tags — Remove specific tags from all selected collections.
  • Change Category — Move all selected collections to a different category.
  • Change Color — Update the icon color for all selected collections.
  • Export — Download the selected collections as a CSV file.

Tip: Use the filter and sort controls on the My Collections page first to narrow down the list, then use Select All to quickly target exactly the right collections.

Bulk Delete

Bulk delete allows you to remove multiple collections in a single operation. Because this action can be difficult to reverse, Collections Manager includes multiple safety measures.

Warning: Deleting collections is a destructive operation. Deleted collections are moved to Trash and retained for 30 days. After the retention period, they are permanently removed and cannot be recovered.

How to Bulk Delete

  1. Select the collections you want to delete using checkboxes on the My Collections page.
  2. Click the Delete button () in the bulk actions toolbar.
  3. Review the confirmation dialog, which lists every collection that will be deleted along with a count of shared collaborators who will lose access.
  4. Type the confirmation phrase shown in the dialog to proceed.
  5. Click Delete Collections to finalize.

Recovery Options

If you delete collections by mistake, you have options to recover them:

  • Trash — Deleted collections are moved to the Trash folder, accessible from your profile. Items remain in Trash for 30 days.
  • Restore — Open the Trash, select the collections you want to restore, and click Restore. All data, items, and collaborator settings are preserved.
  • Permanent Delete — From the Trash, you can permanently delete items before the 30-day window. This action is irreversible.

Important: When a collection is in the Trash, collaborators cannot access it. Restoring the collection automatically re-grants all previous access permissions.

Upload Status and History

The My Uploads page provides a complete history of all your bulk operations, including current status and detailed results.

Status Indicators

Processing

The system is actively processing your upload. A progress bar shows completion percentage.

Completed

All rows were processed successfully with no errors.

Completed with Warnings

Processing finished, but some rows had issues. Click the upload to review the error report.

Failed

The upload could not be processed. Check the error details and try again.

Viewing Upload Details

Click any upload in the history list to see a detailed breakdown including:

  • Total rows submitted and number of rows processed successfully.
  • Specific error messages for any failed rows, with the row number and column name.
  • Timestamp for when the upload started and finished.
  • A downloadable error report (CSV) that you can correct and re-upload.

Troubleshooting Common Issues

If your bulk upload or operation does not complete as expected, check the following common issues and their solutions.

CSV Parsing Errors

Error: "Invalid CSV format"

  • Ensure the file is saved with the .csv extension and uses UTF-8 encoding.
  • Verify that commas are used as the delimiter (not semicolons or tabs).
  • Check for unescaped commas within field values — wrap those fields in double quotes.

Column Mapping Issues

Error: "Required column 'name' not found"

  • Column headers are case-sensitive. Use lowercase for all headers (e.g., name, not Name).
  • Remove any invisible characters or BOM markers from the header row. Re-saving the file in a text editor can fix this.
  • Ensure the first row of the file contains column headers, not data.

Data Validation Errors

Error: "Value exceeds maximum length"

  • Collection names must be 255 characters or fewer.
  • Descriptions must be 2000 characters or fewer.
  • Tags must be 100 characters or fewer per tag, with a maximum of 20 tags per collection.

Error: "Duplicate collection name"

  • Each collection within an account must have a unique name.
  • Check your CSV for duplicate name values.
  • If the name already exists in your account, either rename the entry or use the Update existing option during upload.

File Size Limits

Error: "File too large"

  • Maximum file size is 10 MB.
  • Maximum row count is 5,000 rows per file.
  • If your data exceeds these limits, split the file into multiple smaller files and upload them separately.

Processing Timeouts

Status stays at "Processing" for an extended time

  • Large uploads (over 1,000 rows) may take several minutes to process.
  • Check the My Uploads page for progress updates.
  • If the upload has been processing for more than 30 minutes, contact support through the Contact Us page.

Tip: Always test your CSV with a small subset of data (5-10 rows) before uploading a large file. This helps you catch formatting issues early without wasting time on a full upload.
