Getting Started with Collections Manager
Everything you need to know to begin organizing your collections.
Welcome
Collections Manager is a powerful platform designed to help you organize, manage, and share groups of related items. Whether you are cataloging digital assets, curating resource libraries, or collaborating with your team on shared inventories, Collections Manager provides the tools you need to stay organized and productive.
With Collections Manager you can:
- Create and manage multiple collections with custom metadata and tags
- Add items to collections individually or through bulk upload
- Share collections with team members and control access permissions
- Organize collections into folders and sub-collections for a clean hierarchy
- Search, filter, and sort across all your collections instantly
- Track changes with version history and activity logs
Tip: You can access the global search at any time by pressing Ctrl+K (or Cmd+K on Mac) to quickly find collections, items, and members.
Creating Your First Collection
Creating a collection is quick and straightforward. Follow these steps to set up your first collection:
Click the Create Button
In the top navigation bar, locate the Create button (blue button with a plus icon). Click it to open the creation menu, then select New Collection.
Enter Collection Details
On the creation form, fill in the following fields:
- Collection Name — A clear, descriptive name for your collection (required).
- Description — A brief summary explaining the purpose of the collection (optional but recommended).
- Type — Select from Standard, Smart, or Shared (see Understanding Collection Types below).
- Tags — Add one or more tags to help organize and search for the collection later.
Set Visibility
Choose who can see and access your collection:
- Private — Only you can see it.
- Organization — Visible to all members of your organization.
- Public — Visible to anyone with the link.
Save Your Collection
Click the Create Collection button at the bottom of the form. You will be redirected to your new collection's detail page where you can start adding items immediately.
Tip: You can also create a collection directly from the Dashboard by clicking the large + New Collection card in the quick-actions area.
Adding Items to a Collection
Once your collection is created, you can populate it with items. Items represent the individual entries within your collection, such as files, links, notes, or any custom data.
Navigate to Your Collection
Go to My Collections from the navigation bar and click on the collection you want to add items to. This opens the collection detail view.
Click Add Item
Inside the collection detail view, click the Add Item button located in the top-right area of the items list. A form or modal will appear for you to enter item details.
Fill in Item Information
Provide the required and optional fields for the item:
- Item Name — A descriptive title for the item (required).
- Content / URL — The primary content, file, or link associated with this item.
- Notes — Any additional context or commentary.
- Tags — Tags specific to this item for fine-grained search.
- Custom Fields — If the collection has custom metadata fields defined, fill those in as well.
Save the Item
Click Save Item to add it to the collection. The item will appear in the collection's item list. Repeat this process for each item you want to add.
Tip: Need to add many items at once? Use the Bulk Upload feature to import items from a CSV file or upload multiple files simultaneously.
Navigating the Dashboard
Your Dashboard is the central hub for all your activity in Collections Manager. Here is a breakdown of each section:
Quick Stats
At the top of the Dashboard, you will find summary cards showing your key metrics: total collections, total items, recent activity count, and storage usage. These give you a high-level view of your account at a glance.
Recent Collections
Below the stats, a grid of your most recently accessed or modified collections appears. Click any collection card to jump directly into it. Each card shows the collection name, item count, last modified date, and visibility icon.
Activity Feed
The activity feed on the right side of the Dashboard displays a chronological log of recent actions: items added, collections shared, members invited, and more. This helps you keep track of what is happening across your account and organization.
Quick Actions
A row of quick-action buttons lets you perform common tasks without navigating away from the Dashboard:
- New Collection — Create a collection directly from the Dashboard.
- Bulk Upload — Jump to the bulk upload interface.
- Explore — Browse public and organization-shared collections.
- Invite Members — Send invitations to collaborate on your collections.
Understanding Collection Types
Collections Manager supports three types of collections, each designed for different use cases:
Standard Collections
Standard collections are the default type. You manually add, edit, and remove items. This is the best choice when you want full control over exactly which items belong in the collection. Use standard collections for curated lists, project resources, or any scenario where you handpick each entry.
Smart Collections
Smart collections automatically populate based on rules you define. For example, you can create a smart collection that includes all items tagged with "design" created in the last 30 days. Items matching the criteria are added and removed automatically as they change. Smart collections are ideal for dynamic views that should always stay up to date.
Tip: You can combine multiple rules with AND/OR logic in smart collections. For example: tag is "design" AND created after January 1, 2026.
Shared Collections
Shared collections are collaborative spaces where multiple members can add, edit, and manage items together. When you create a shared collection, you invite team members and assign roles (Viewer, Editor, or Admin). Changes by any collaborator are visible to all members in real time. This is the best option for team projects and cross-department resource sharing.

Quick Tips
Here are a few shortcuts and best practices to help you work faster:
Keyboard Shortcuts: Press Ctrl+K to open global search, Esc to close any open modal or overlay, and N on the dashboard to start creating a new collection.
Tag Consistently: Develop a consistent tagging strategy early. Use lowercase tags separated by hyphens (e.g., "web-design", "q1-2026") to keep your collections easily searchable and filterable.
Favorite Collections: Click the star icon on any collection card to add it to your favorites. Favorited collections appear at the top of your Dashboard for quick access.
Enable Notifications: Turn on notifications in Settings to receive alerts when collaborators make changes to shared collections, when items are added or removed, or when you are invited to a new collection.
